Minutes of Meeting No. 173 held at Littleton Memorial Hall, Littleton, Winchester

1. Apologies.

3. Minutes of Meeting 172. 
Meeting held on the 9 November were agreed and approved. 

4. Matters Arising.
Lynn stated amendments to note, Ernie Fulbrook, North Hants and Southern Digital had all been present.    
Item 5 – DI Championships, the organisers are North Hants with Newbury hosting the event in their club room.  Item 11 date should read 6 April. 

5. President’s Report.
Ian welcomed all to our new venue, the move had been necessary due to financial reasons.  Newsletter is here for all to collect.  Ian thanked all who assisted in the annual Exhibition at Salisbury Library which closed today after a very successful showing; George will give a full report later.  After meeting Ian invited everyone to join Council in a belated Christmas drink to celebrate another year of success for the federation.  He hoped that clubs would support both the Print and DI Championships this year.

6. Secretary’s Report

7. Treasurer’s Report. 
Current account balance £1746.82, Community Instant Reserve account £2696.42, cash £1.22. 
Public Liability insurance has now been paid, any clubs now wanting this insurance would be liable for the £5 levy.

8. Exhibition Secretary’s Report. 
Good attendance at the opening on the 4th January with over 70 people supporting this event. Showing of the slides took place and thanks were given to Richard Temlett for giving up his time to operate the projector. 
Special thanks were given to Geoff Kelland for all his time and work he dedicates to this event and the catalogue.  Thanks are all given to all those who have helped, putting up, taking down and stewarding, it makes a great difference to have stewards there to talk to the visitors of which there were over 977.  There were 309 voting slips for the visitors ‘best picture’, 19 people voted for print no 32 by Aphra Bremnar, Bournemouth PS. 
Secretary was asked to draw the winning slip from these 19 votes.  Carolyn Rich was the lucky winner of £20 Jessops voucher. 
George also gave thanks to the curator, Mr Peter Riley and his staff for their continued support.
A big thank you must go to all the clubs for presenting their entries in the same size fibre boxes, over 98% were received this way.  This makes the handling of these prints not only easier for the sorting and stacking but protects the clubs work as well.Forms are here for collection for the 2009 exhibition.  Maximum number of panels that can be shown are 40; remember it’s on a first come basis.

9. League Secretary’s Report. 
2007/08 league, there have been 2 missed fixtures and 2 where visiting clubs were only aware of date a couple of days before.  Therefore this year I shall be advertising the booking procedure more prominently.  Due to the use of a very similar print by one photographer in 2 clubs, marks have been lost.
Semi final at Chichester will be 25 March, Overton date to be announced, finals day 20th April; John Chamberlain will judge and give talk.
2008/09 – apologies that not all clubs received information, problems with emails not getting through.  Fixture list has ended up very similar to 2007.08 but Newbury and Basingstoke have swapped leagues.  3 clubs are entering prints only and have been highlighted in yellow on the list.  Prism has now confirmed their entry, SDIG have withdrawn but believe this to be over a misunderstanding of the rules and it is hoped they will rejoin.  Again please take note of the booking procedures.
Feedback from questionnaire – all clubs except 1 reported decline in slide participation and quality.  About 50% have digital projection equipment but not all feel comfortable enough to hold a league round at present.
Many clubs are looking into their equipment needs.Entry forms and rules with request for £3 per section entry fee will be circulated no later than the weekend.  Latest league tables will be on the website within a couple of days.

10. Print Championship Report. 
Chichester not present to give report but secretary reported that closing date has gone and there is something in the region of 14/16 clubs entered.  Every thing now organised and things going well.

11. Digital Imaging Championship Report. 
Lynn gave details of the DI Championship entry and closing date and said the paperwork for this event would be circulated within the next 2 days.Any queries regarding this clubs to contact Ernie Fulbrook. 
Copyright ownership and Data Protection Act caused some discussion, some clubs reps were concerned about the circulation of the work entered on CD.  By circulating these CD’s to those clubs who have entered the competition will not break any Data Protection rules and does not affect copyright ownership.  The onus is on the clubs to take proper care of these CD’s, there was also a suggestion that these be low resolution so no one is able to make copies of the work.

12. Handbook Secretary’s Report. 

Dave made a plea that people let him know of any changes to any of the details for information in the handbook.  He would then send out amendments to all clubs.  Dave has now started on the PAGB updates although these will not be included until 2009.

13. Publicity Secretary’s Report. 
Income Update:
HANDBOOK 2007 I have received & paid in: £211.  Still owing: £72 (cash & goods).
PAGB ADVERTISING - SLIDE CATALOGUE 2007 Advertising for PAGB catalogue raised £330 although this money is going to PAGB.
SOUTHERN FED. EXHIBITION CATALOGUE £260 raised Invoices have been posted with copies of the catalogue.  Paid in: £72.  Owing: £188 (cash & goods).
FOTOSPEED will pay, not in money, but in goods, which we
must re-sell to raise cash.  I proposed to Council that I
obtain a range of goods for: a) resale at major events;
b) raise money by holding raffles of Fotospeed goods at major events.
Dave went through various options and had agreement on what should be purchased for resale.
Having worked hard Dave has been able to raise a total of £543 in advertising for the SPF but we need to make all members of all our federation's clubs aware of the fact that some advertisers are including discount vouchers with the advert.  I wish members to realise that if none, or very few, of these vouchers are taken up, then the advertising revenue will undoubtedly suffer.  Please help to get this message over, & point out that it is in everyone's interest, in order to help keep club affiliation dues to a minimum.

14. Newsletter and Webmaster’s Report
Newsletter available for collection.  Any club rep wanting to be added to distribution list for email link to be sent should contact Trevor. 
Trevor now looking for material for May Newsletter, any items must be in by 12 April.  This can be a short piece about your clubs forthcoming events/exhibitions, any snippets of info to help fellow photographers.
Trevor reported he has been changing the look of website and it should now be easier to navigate. 
Some statistics: 2006 saw 1000 hits per month, 2007 it was 1500 hits but 2008 has started with a bang – so far this month there has been 34000 hits.
Online competition will be starting within next few weeks.

15. PAGB Executive Member’s Report
No PAGB Exec report as meeting not until next week. 
PAGB Awards weekend – Leo invited Jack to give update as he and Liz were the main organisers of the event.  Jack explained that after the entrants had put in their application for tickets he would offer the rest of the seats to club members.  This would not happen until beginning of April but is happy to take names on list.  The entry is £7 for each day, please email Jack if you would like to go on list for tickets, you must indicate which day you wish to attend.  The judging will be D Grade on Sat. 26th April and C and M on Sunday 27th April. Venue is Copythorne Village Hall (Southampton CC’s meeting place) Anyone considering entering work at future assessments would benefit from attending.
Leo reported any clubs entering or wishing to enter the GB Cup, closing date now extended to 22 Feb although they would like CD’s as soon as possible.
PAGB is seriously considering buying its own projector and is currently looking into which format to purchase.  They have a demonstration this weekend. If clubs are considering purchasing projectors at the moment it might be of benefit for them to wait outcome of the PAGB’s purchase.Leo hopes to be able to give more information at next club reps meeting.

16. Roll of Honour. 
Since November meeting Ian has presented 5 awards to Doreen Bethall, Nigel Plant, Pat Ball, Sheila and Peter Read. 
At the opening of the exhibition Jack presented an award to a very surprised president; Ian Bigg. 
2 further applications awaiting return.

17. Any Other Business. 
Some of the members found it very difficult to hear in the hall and wondered if there was a public address system we were able to use.  George agreed to investigate.
The return of slides from the exhibition can be collected from George Walsh or at next quarterly meeting.  Any clubs wishing them to be posted must first send postage fee to George.
As there were no other items to discuss Ian invited everyone to adjourn to the foyer for drinks.
